This policy explains how information is handled when you use Maanova Tech ATS, including recruiting workspaces, the candidate portal, and connected interview services.
Who handles your information
Maanova Tech provides the ATS service. The employer or recruiting organization operating a workspace determines how it uses applications, interview feedback, and hiring records. For questions about a particular application or hiring decision, contact that organization. Contact Maanova Tech for questions about the service or this policy.
Information the service processes
Depending on your role and the features you use, the service processes information that you or your recruiting organization provide.
- Account and contact information, such as name, email, phone number, role, and workspace membership.
- Resumes, profile details, skills, job applications, application stages, and uploaded documents.
- Job descriptions, interview schedules, panel assignments, interview feedback, and recruiting notifications.
- Authentication and technical information needed to operate the service, including session details and security or activity logs.
How information is used
Information is used to authenticate accounts, provide role-appropriate access, manage recruiting workflows, process resumes, schedule interviews, deliver notifications, generate workspace reports, and investigate service or security issues. Resume processing may use a configured document-processing or language-model service. Ask support for information about the providers used in your deployment.
Resume matching and application screening
The service can extract resume information and compare it with job requirements. Automated screening rules may affect application progress, including rejection when a matching threshold is not met. Matching results can be incomplete or inaccurate. Contact the recruiting organization to ask about a result, correct your information, or request review of an application.
Google Calendar and Google Meet
Connecting Google Calendar is optional and requires authorization from the connecting user. The integration requests access to manage events on calendars you own and to read calendar information needed to select a calendar. It uses this access to create, update, and cancel interview events and request Google Meet joining details.
The service stores connection credentials and interview event references to maintain the connection and synchronize scheduled interviews. Event details can include candidate and interviewer contact information, interview timing, and meeting instructions. Information shared with Google and invited participants is needed to provide the scheduling feature.
Use of information obtained through Google APIs is limited to providing the connected scheduling features and follows the Google API Services User Data Policy, including its Limited Use requirements. Google account data is not used for advertising or to train generalized AI models.
You can disconnect Google Calendar in the interview integration controls. You can also revoke access through your Google Account. Disconnecting removes stored connection credentials; it does not itself delete existing recruiting records or previously created calendar events.
Retention and deletion
Retention depends on the record type, the recruiting organization’s requirements, and applicable obligations. Closing a browser, signing out, or disconnecting an integration does not delete applications or recruiting records. Contact the recruiting organization or support to ask about the applicable retention period or request deletion. Some information may need to be retained for legitimate recordkeeping, security, or legal purposes; backups may not be removed immediately.
Your choices and requests
You can update information where account or profile controls are available. Contact support or the recruiting organization to request access, correction, deletion, or information about how your data is used. We may need to verify your identity and authority before handling a request. Do not email passwords, one-time codes, or complete identity documents.
Users in India
Where the Digital Personal Data Protection Act, 2023 and its applicable rules are in force and apply to your information, you may request information about processing, correction or erasure, grievance redressal, and nomination as provided by that framework. Where processing depends on consent, you may request withdrawal of that consent. Contact support with the subject “India privacy request” or contact the recruiting organization responsible for your application. Applicable commencement provisions, exceptions, and retention obligations determine how a request is handled.
Users in other countries
Privacy rights depend on your location, the organization processing your information, and the law that applies. This page does not assert that every privacy law applies to every workspace.
- European Economic Area: where the GDPR applies, rights may include access, correction, erasure, restriction, portability, objection, withdrawal of consent, and protections relating to certain automated decisions. You may also complain to the relevant supervisory authority.
- United Kingdom: where UK data protection law applies, you may request access, correction, deletion, and other applicable rights, and raise a concern with the Information Commissioner’s Office.
- California: where the CCPA applies, rights may include knowing or accessing personal information, correction, deletion, opting out of sale or sharing, limiting certain uses of sensitive information, and non-discrimination for exercising rights.
- Other jurisdictions: tell support which country or region your request concerns so it can be directed to the responsible organization and handled under the applicable requirements.
Browser storage and external services
Authentication cookies and browser session storage support sign-in. Local storage may remember interface preferences, such as a collapsed sidebar. See the Cookie Policy for details. External services have their own privacy terms. Processing locations and service providers can depend on the deployment; contact support for details relevant to your workspace.
